Security Commitment

MelaSchools is built with security at its core. All data transmitted to and from the platform is protected with end-to-end encryption. Access to school records is governed by role-based access control (RBAC), ensuring that teachers, administrators, and parents can only see what they are authorized to view. Our infrastructure runs on enterprise-grade cloud servers with 99.9% uptime SLA, continuous threat monitoring, and regular third-party security audits.

1. Acceptance of Terms

By accessing or using MelaSchools (the "Platform", "Service"), operated by Maleverse Technology PLC ("MelaSchools", "we", "us", or "our"), you agree to be bound by these Terms of Service ("Terms"). If you are entering into these Terms on behalf of a school, educational institution, or other organization, you represent that you have the authority to bind that organization and that your acceptance constitutes agreement by the organization.

If you do not agree to these Terms, you must not access or use the Platform. We reserve the right to update these Terms at any time. Material changes will be communicated to registered administrators via email, and continued use of the Platform following notification constitutes acceptance of the revised Terms.

2. Use of the Platform

MelaSchools provides a cloud-based school management system designed to help educational institutions in Ethiopia and beyond manage students, staff, attendance, grades, fees, and communications.

You agree to use the Platform only for lawful purposes and in accordance with these Terms. You must not:

  • Use the Platform in any way that violates applicable laws or regulations
  • Attempt to gain unauthorized access to any part of the Platform, its servers, or any system connected to the Platform
  • Transmit any malicious code, viruses, or other harmful software
  • Scrape, harvest, or collect data from the Platform without our express written consent
  • Impersonate any person or entity, or falsely represent your affiliation with any person or entity
  • Use the Platform to send unsolicited communications or spam to students, staff, or parents
  • Reverse-engineer, decompile, or otherwise attempt to extract the source code of the Platform

We reserve the right to suspend or terminate access to any user or school that violates these acceptable-use requirements.

3. User Accounts & Security

To access MelaSchools, your school must be registered and approved by our team. Each school is assigned an administrative account from which sub-accounts for teachers, finance staff, and other roles can be created.

You are responsible for:

  • Maintaining the confidentiality of your login credentials and ensuring they are not shared with unauthorized individuals
  • All activity that occurs under your account, whether or not authorized by you
  • Promptly notifying us at manager@maleverse.net if you suspect any unauthorized access to your account
  • Ensuring that role assignments within your school accurately reflect each user's responsibilities and access needs

MelaSchools employs role-based access control (RBAC) to enforce data boundaries between user roles. All data is encrypted both in transit (TLS 1.3) and at rest (AES-256). We take security seriously and conduct regular internal reviews and third-party penetration testing to protect your institution's data.

4. Data & Privacy

Your use of the Platform is also governed by our Privacy Policy, which is incorporated into these Terms by reference. By using MelaSchools, you consent to the collection, use, and storage of your data as described in the Privacy Policy.

As a school administrator, you act as a data controller for the personal data of your students and staff that you enter into the Platform. MelaSchools acts as a data processor on your behalf. You are responsible for obtaining any necessary consents from students, parents, and staff, and for ensuring your use of the Platform complies with applicable data protection laws.

We will never sell your school's data to third parties. Data entered by your school is logically isolated and is never accessible to other schools on the Platform.

5. Payment Terms

Access to paid features of MelaSchools requires a valid subscription. Subscription plans, pricing, and billing cycles are presented at the time of registration and may be updated with advance notice.

  • Billing — subscriptions are billed monthly or annually depending on the plan selected. Fees are due at the beginning of each billing cycle
  • Payment methods — we accept payments via Chapa (for Ethiopian banks and mobile money) and Stripe (for international cards). Payment information is processed and stored securely by these providers; MelaSchools does not store raw payment card data
  • Late payments — failure to pay may result in suspension of your account until outstanding balances are settled
  • Refunds — subscription fees are generally non-refundable. If you believe you have been charged in error, contact our support team within 14 days of the charge
  • Price changes — we will provide at least 30 days' notice before changing subscription pricing, giving you the opportunity to cancel before the new price takes effect

6. Intellectual Property

All intellectual property rights in the Platform — including its software, design, user interface, text, graphics, and underlying technology — are and remain the exclusive property of Maleverse Technology PLC and its licensors. Nothing in these Terms grants you any ownership interest in the Platform.

You retain full ownership of all data and content you upload or enter into the Platform, including student records, documents, and reports. You grant MelaSchools a limited, non-exclusive license to process and store this data solely to provide the Service to you.

You may not copy, reproduce, distribute, modify, create derivative works from, or publicly display any part of the Platform without our prior written consent.

7. Limitations of Liability

To the fullest extent permitted by applicable law, MelaSchools and its officers, directors, employees, and agents shall not be liable for any indirect, incidental, special, consequential, or punitive damages — including loss of data, revenue, profits, or goodwill — arising out of or in connection with your use of the Platform.

Our total aggregate liability to you for any claims arising under these Terms shall not exceed the total subscription fees paid by you to MelaSchools in the three (3) months immediately preceding the event giving rise to the claim.

The Platform is provided "as is" and "as available." While we strive for high availability and reliability, we do not warrant that the Platform will be uninterrupted, error-free, or free from security vulnerabilities. You are responsible for maintaining appropriate backups of critical data.

8. Termination

Either party may terminate the agreement at any time by providing written notice. You may cancel your subscription at any time through your account settings or by contacting our support team.

Upon termination:

  • Your access to the Platform will be deactivated at the end of the current billing cycle (or immediately if terminated for cause)
  • Your school's data will be retained for 90 days after termination, during which time you may request an export of your records in standard formats (CSV, PDF)
  • After the 90-day retention window, all school data will be permanently and securely deleted from our servers

We reserve the right to suspend or terminate your account immediately, without notice, if we determine that you have violated these Terms, engaged in fraudulent activity, or pose a risk to the security of the Platform or other users.

9. Governing Law

These Terms of Service shall be governed by and construed in accordance with the laws of the Federal Democratic Republic of Ethiopia, without regard to its conflict of law principles.

Any disputes arising out of or relating to these Terms or your use of the Platform shall be subject to the exclusive jurisdiction of the courts located in Addis Ababa, Ethiopia. You consent to the personal jurisdiction and venue of such courts and waive any objection to such jurisdiction.

Notwithstanding the foregoing, MelaSchools may seek injunctive or other equitable relief in any court of competent jurisdiction to protect its intellectual property rights or prevent irreparable harm.
